01

Getting started

What the first week looks like.

How long before I can send a quote?

The same day. Pick your trades, set your charge-out rate and margin, and either upload a few old quotes for an AI model to read your prices out of, for you to check, or add rates as you measure. The first quote takes a little longer while your price book fills up.

Do I have to build a price book before I can do anything?

No. Upload some old quotes and an AI model reads your prices off them for you to check, or start quoting and add each rate the first time you measure that kind of work. Either way you can quote on day one.

I have years of quotes already. Can I bring them?

Yes. Upload a few of your old ones and an AI model reads the lines out of them into a price book: what you charge for, what you call it, and what you charged. You approve what it found before any of it is kept.

Do I need to be at a computer?

No. The measure-up is built for a phone in one hand, because that's where it happens. Everything else works on a phone too, though a month of invoices is easier to read on something bigger.

Do you set it up for me?

There's nothing to install, which is why there's no setup fee either. You just tell Stringline about yourself: your details, your trades, your rates. If you want a hand with any of it, get in touch and we'll sort you out.

I do two trades. Is that two accounts?

Nope. One. Tick both and you get both price books on the same business, and a single quote can have lines from either. The trade is set on each quote and each rate, so one business can do both.

02

Taking enquiries

Where the work comes from, before it is a quote.

How do people enquire?

Three ways, and the first needs no website at all: a page we host for you, with a link you can put on your Facebook page, your Google listing or a QR code on the van. The other two go on your own site, as one line of HTML or as a script that takes on your page's own fonts and colours.

What happens when one comes in?

It emails your business address straight away and lands at the front of your leads, exactly as the customer typed it. Whoever wrote in gets a reply saying you have their message, unless you turn that off.

Does the form show prices?

Only if you want it to, and it does not to start with. Mark a rate "offer it on your enquiry form" and your customer can pick that work and say how many, with a running total as they go or no prices at all. Accepting the lead turns it into a draft quote, priced off those same rates, for you to check.

Will it make a second customer record for someone I already have?

No. Nothing is created until you accept the lead, and if Stringline recognises the details as an existing customer it links them, so the same person enquiring twice stays one customer with one history.

Can somebody else put my form on their site?

No. The two that go on a website only work on the domains you name, and you can change that list whenever you like.

03

Doing the work

Quote, job, invoice, and what happens between them.

How does the customer get the quote?

By email, with a link to the quote and the PDF attached. Your customer opens the link on their phone, reads it, ticks any options you offered and accepts by typing their name. You see the moment they open it, which is usually the answer to whether it's worth ringing them.

What happens when they accept?

It becomes a job, with the quote behind it. Nothing is retyped, and the invoice at the end is built from the same items, so the number they accepted and the number you bill can't drift apart by accident.

Do I have to chase people who haven't answered?

The follow-ups do it, on whatever schedule you set, and they stop as soon as the quote is accepted or declined.

Can I change an accepted quote?

Yes. "Add extra work" on the job asks three things: what they asked for, the price, and the hours it adds if you want to track them. It saves as a draft until you send it, then your customer accepts it online the same way they accepted the quote. Once they have, it goes on the final invoice and its hours are added to the job, without anybody retyping it.

Does it schedule the crew?

Yes. Jobs go on a board by day and by person, drag to move them, and the crew clock on from their phones. The hours come back against the job.

How would I know my rates are wrong?

Because the clock disagrees with the book. Every job compares what you priced against what it took, per rate, so "walls, two coats" stops being a number you picked in 2019 and becomes what the work really takes you.

Can I ask for something that's not there?

Yes. There's a wishlist board in your account, shared by every business on Stringline: put it up, and others vote and comment on it. It moves Open, Will do, Working on it, Done, and the status never changes without a note to the people following it, including a reason if the answer is Won't do. You choose how each post is signed: your name and your business, your first name only, or anonymous.

Can I stop my crew seeing what we charge?

Yes, and it is yours to set. Every person gets their own login, which costs you nothing, and you choose what each of them can open: the jobs and the board, quotes and prices, your price book, the invoices and payments. Start from a role we have set up, change it to suit, or make one of your own. Every quote, clock-on and change records who did it and when, so you can always see who did what.

Does it work with no signal?

Yes. Not every part, but the ones that matter on a site with no coverage. Opened with no signal, the app shows a plain offline screen: your crew can clock on and off and take photos, and you can measure up: start a quote for a customer you type in on site, or add rooms to a draft, with the measurements, the work, notes and photos. It prices when the signal comes back, and the clock-ons go through in the order they were tapped. Everything else waits for bars.

04

Your data

Where it lives, who can see it, and how you get it back.

Can anyone else see my prices?

No. We don't aggregate them, benchmark them or sell a report about them.

Can I get my data out?

Yes. Your data is yours and you can export all of it at any time: there's a button in your account that downloads the lot as a zip of spreadsheets, customers, quotes, jobs, hours, invoices, payments and your price book.

What happens to it if I stop paying?

The account closes and nothing is deleted straight away. Come back and it's where you left it. We will tell you before anything is removed for good.

Do you email my customers?

Only the things you send them: the quote, the follow-ups you set, the invoice and its reminders, all from you. We never market to your customers.

05

Price and billing

One price, and what's behind it.

What happens when the 14 days are up?

If you have saved a card, it is charged the day your trial ends and on the same date every month after that, and you carry on without doing anything. If you have not, Stringline closes until you do. Nothing is deleted for 30 days, and it all opens again the moment a card is on file. We email you when the clock starts and again before the end of it.

Is it really $89 for a crew of ten?

Yes. Any crew size is the same price.

Is GST on top?

In New Zealand, yes: $89 plus GST, so $102.35 on the invoice. You're claiming it back anyway. In Australia it's NZ$89 a month and that's all: we're a New Zealand business, so there's no GST to add. Your bank may charge a small fee for paying in NZ dollars.

How do I pay?

By card, on the same date each month, the one your trial ran out on. We charge the card you saved through Stripe, and the invoice arrives already marked paid, so there is nothing for you to do with it. We cop the card fee, so the total on the invoice is what leaves your account.

Can I pay by bank transfer instead?

No. A card is the only way to pay us, which is why Stringline locks when the trial ends and there's not one saved. It keeps the whole thing to one monthly charge you never have to think about, and it's the reason there's no invoicing chase between us.

How do my customers pay me?

However you already get paid. Your bank details and payment terms go onto every invoice, so a direct credit needs nothing set up, and when the money lands you record the payment against the invoice: bank transfer, cash, cheque or card, in part or in full. Stringline works out what is still owed and the reminders stop on their own. Connect your own Stripe account as well and the invoice page offers a card beside the bank details, with the money going to you rather than through us. Stripe's fee is 2.7% + 30c a payment in New Zealand, and 1.7% + 30c in Australia; you choose whether to wear it or add it to what your customer pays, and they see it before they pay.

Does it work with Xero?

Yes, and it is included. Connect your organisation and a sent invoice shoots over to Xero on its own as authorised, under your numbering. Payments recorded in Stringline go over to Xero too, and the payments Xero's bank feed reconciles come back, so the invoice closes itself and the reminders stop chasing somebody who has already paid. Drafts never leave. You pick which account codes sales and payments post to, and nothing is sent until you have picked them.

Can I cancel?

Yes. Any time, from your account page. You keep access to the end of the month you have paid for, and your data is yours to take with you if you want it.

Will the price go up?

Not on you without warning. If it ever changes, you will hear about it a month ahead.

What if the card fails?

The invoice stays unpaid and we tell you. You have 14 days to sort it out before it's late, and another 14 after that before Stringline closes, long enough for a card that expired over a holiday. Updating it on the Account page settles what's owing.
